Vault Admin - Simple uploads & drag & drop

Docbyte Vault also supports simple, user-driven uploads.
 
Authorised users can upload documents via drag & drop in both Vault Admin and Vault Explorer. Upon upload, the appropriate preservation actions are applied automatically, ensuring that integrity, provenance and long-term usability are established immediately – even for ad-hoc uploads.

Configurable preservation representations

Preservation representations – such as viewing copies, anonymised versions or preservation formats – are created based on configurable rules managed in Vault Admin. This ensures that documents can be viewed, shared or preserved in different forms, without compromising the original evidence.

Vault Collect - Secure document collection from external parties

Vault Collect enables the secure and veriflable collection of documents from exteral parties, such as customers, citizens, employees or partners.

Documents are submitted through controlled channels where identity, integrity and submission context are established immediately. This ensures that a document can later be linked to a specific sender, moment and method of submission, which is essential for evidentiary value and compliance.

Vault Collect is typlcally used in scenarios where documents originate outside the organisation and trust must be established at the point of recelpt.

Vault Review supports structured intake, review and preparation of incoming documents before they are preserved or routed to downstream systems.

It underpins digital mallroom scenarios where documents must be classified, validated and enriched with metadata while maintaining full traceability of processing steps. Vault Review ensures that operational efficiency does not come at the expense of control or evidentiary clarity.

Correspondence that is received and that triggers an internal process, should be immutably preserved as evidence.
