When implementing a Document Management System in an organisation, one of the first things many companies try to establish is a fail-proof migration process that aims to import or convert the existing paper file system or dossiers into an Electronic Document Management System. This migration process, and the subsequent management within an EDMS is often referred to as Dossier Management.
Implementing a Dossier Management system is not identical to a Document Management System. As their names imply, Dossier Management is "folder-centric" where as Document Management is "document-centric".
More often than not, organisations - especially IT integrators - try to transpose the principles of Document Management to Dossier Management, generating quite a workload overhead for the users of the management system. From the IT integrator's point of view, this process of applying Dossier Management directly to Document Management feels natural. Without doing so, the end-user wouldn't benefit from the functionalities of the ECM or DMS.
While this kind of reasoning is omnipresent, the truth of the matter is that most ECM and DMS solutions lack the required functionalities in order to fully support Dossier Management.
We can extensively customize the major ECM-solutions in our portfolio in order to truely enable Dossier Management within an ECM platform. Our docTools product is specifically aimed at adding these functionalities to the EMC² Documentum platform.
